Privacy, disclaimer & company details

DocurAI is built on one promise: your data stays in Europe and is used for nothing other than providing the service to you. This page explains what we process, where and why, and the terms under which this website and its information are provided.

Scope. The company details, privacy statement and disclaimer on this page apply to DocurAI Lite (Basic and Standard) and to these websites. DocurAI Pro, which is designed for special categories of personal data under the GDPR (such as medical records), is not covered by this page: for DocurAI Pro we draw up an individual data processing agreement with each customer.

BAARS Media is the controller for personal data processed through these websites. For data that customers store in their own DocurAI Lite environment, BAARS Media acts as processor on the customer's behalf.

Privacy statement

2.Where your data is stored

This website and the DocurAI application, including all documents, files and photos stored in it, run on servers of Hetzner Online GmbH in a datacenter in Nuremberg, Germany. We do not use US cloud providers for hosting or storage.

AI document summaries are generated on our own servers. Document contents are never sent to a third-party AI service.

3.This website

  • No cookies, analytics or tracking. We don't use cookies, browser storage, analytics or advertising scripts.
  • No third-party requests on page load. Fonts and images are served from our own server.
  • Server logs. Like any web server, ours records technical request data (IP address, time, requested page, browser type) to keep the site secure and working. These logs are kept only for a limited period and are not used to build profiles.
  • Product video. The video is only loaded from YouTube (Google) after you click play, using YouTube's privacy-enhanced mode. From that moment YouTube's own privacy policy applies, and Google may process data outside the EU.

4.Contact form

The contact form doesn't send anything through this website: it opens your own email program with a pre-filled message to us. We only receive what you choose to send, and use it to answer your question.

5.Demo and orders

Demo environment. When you create a free demo, the details you enter are stored in the DocurAI application on our servers in Germany and used only to provide the demo. Each demo environment, including all data entered in it, is automatically deleted 7 days after it was created.

Orders. When you order a plan, the email address (and VAT number, if provided) you enter is added to the payment description on the bunq payment page. Payments are handled by bunq B.V., a Dutch bank. We use these details to set up your environment, send your login details and invoice you. Order and invoice records are kept for 7 years, as required by Dutch tax law.

6.Data you store in DocurAI

Documents, files, photos and user accounts in your DocurAI environment belong to you. We only process them to provide the service: storing them, making them searchable and generating summaries. We never sell, mine or share them, and never use them to train AI models. Contact us if your organisation needs a data processing agreement.

DocurAI Lite is not designed for special categories of personal data under the GDPR, such as medical or patient records. Don't store such data in DocurAI Lite. For that use case there is DocurAI Pro, which is covered by an individual data processing agreement (see the scope note at the top of this page).

7.Your rights

Under the GDPR you can ask us to access, correct, delete or export your personal data, or object to or restrict how we process it. Email mark@baars.tv and we'll respond within one month. You can also file a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.

8.Information on this website

We put care into the information on this website, but we can't guarantee that it is always complete, accurate or up to date. It is provided for general information only and is not legal, tax or other professional advice. No rights can be derived from it.

Prices, plans and features may change. Offers on this website are without obligation until we confirm your order. Obvious errors or mistakes in prices or product information (for example a typo) are not binding on us.

9.AI-generated summaries

DocurAI creates document summaries automatically. Like all AI-generated text, a summary can be incomplete or contain errors. Summaries are a convenience, not a replacement for the original document: always check the original before relying on its contents for decisions. We are not liable for decisions made on the basis of a summary alone.

10.Service availability

We do our best to keep DocurAI and this website available and secure, but we can't guarantee uninterrupted or error-free operation. Unless agreed otherwise in writing, we don't promise a specific uptime. The service may be temporarily unavailable because of maintenance, updates or disruptions.

We are not liable for interruptions, delays or data loss caused by circumstances outside our control (force majeure), including failures of our hosting provider, power or internet outages, cyberattacks we could not reasonably prevent, or measures by authorities.

11.Your responsibilities

  • You are responsible for the content you and your users store or share in DocurAI, and for making sure you are allowed to do so.
  • You decide who gets access to your environment. Keep login details confidential and remove users who should no longer have access.
  • Don't use DocurAI Lite for unlawful content or activities, or for special categories of personal data (see section 6).
  • Keep your own copies of documents you can't afford to lose. DocurAI is a place to organise and share documents, not a replacement for your own backup.

12.Limitation of liability

To the extent permitted by law:

  • BAARS Media is only liable for direct damage resulting from an attributable failure on our part.
  • We are not liable for indirect or consequential damage, such as lost profit, lost savings, business interruption, reputational damage or loss of data.
  • Our total liability per event is limited to the amount you paid us for DocurAI in the 12 months before the event that caused the damage.
  • A claim for damages lapses if it is not reported to us in writing within 12 months after you discovered, or could reasonably have discovered, the damage.

These limitations don't apply if the damage was caused by intent or gross negligence (opzet of bewuste roekeloosheid) on our part. If you are a consumer, nothing on this page limits the rights you have under mandatory consumer law.

13.Third parties and comparisons

This website links to and uses services of third parties, such as YouTube and bunq. We have no control over those services and are not responsible for their content, availability or privacy practices.

Our comparison with other products (such as Google Drive, Microsoft OneDrive and Dropbox) is based on publicly available information at the time of writing and reflects our own assessment. Those products may have changed since. Product names and trademarks belong to their respective owners and are used only to identify those products.

14.Intellectual property

The DocurAI name, logo, website texts, images, videos and software are owned by BAARS Media or its licensors. You may not copy, publish or reuse them without our prior written permission, except where the law allows it.

15.Applicable law

This website, this page and any dispute arising from them are governed by Dutch law. Disputes will be submitted to the competent court of the district of Zeeland-West-Brabant, unless mandatory law (for example consumer law) assigns another court.

16.Changes to this page

We may update this page, for example when our service or the law changes. The date at the top of the page shows when it was last updated. Questions? Email mark@baars.tv.
